AI for
healthcare & wellness
Healthcare and wellness businesses, from GP clinics to allied-health practices, lose part of every day to bookings, intake, notes and invoicing. We build those processes into your practice-management and billing systems, with a clinician or practice manager approving anything that reaches a patient.
Admin around care, automated inside the systems your practice already runs
The administrative load in a practice sits before, during and after each appointment: booking and confirming it, collecting intake and consent ahead of the visit, writing the notes, letters and follow-ups afterwards, and invoicing the patient, a provider or a plan manager. The inputs for each already sit in your practice-management software, your billing system and your document store.
We engineer the safe-to-automate part of each as a workflow with a named approval point: confirmations and reminders that read and write the practice calendar, intake that checks what is missing and flags it to reception, draft letters and summaries queued for a clinician to edit and sign, and invoice preparation and reconciliation in Xero or MYOB that a person approves before anything is sent. An audit trail is designed in from the first block, and clinical judgement stays with the clinician.
For DisabilityAssessments, an NDIS allied health provider, we built secure patient-data storage, onboarding flows and a central knowledgebase, then automated matching and alerting, provider and plan-manager invoicing and the reconciliations behind them. The client reports 90% of its operations automated.
A good fit if…
- Reception spends the day confirming, rescheduling and chasing appointments by phone
- Intake and consent are collected at the front desk and re-keyed into the practice system
- Clinicians write notes, letters and follow-ups after hours
- Invoices to patients, providers or plan managers are prepared and reconciled by hand
Before, during and after each appointment
Scheduling & reminders
Booking, confirmation and reminder workflows that read and write your practice-management calendar, so reception stops confirming each appointment by phone and cancellations are offered to the waitlist.
Intake & consent
Digital intake that collects patient details, consent and referral information before the visit, checks it against what the practice system already holds and flags the gaps to reception.
Notes, letters & follow-up
Drafts of routine letters, visit summaries and follow-up messages from the clinician's own notes, queued for that clinician to edit and sign before anything is sent.
Retrieval across practice documents
Search across practice policies, referral templates and past correspondence that returns the source document with every answer, inside the permissions your systems already enforce.
Strategy, software, workflows and training for a practice
Custom software
Patient portals, provider tools and intake forms built around your workflow and the privacy obligations that apply to patient data.
AI strategy
Discovery maps the candidate use cases across reception, clinical documentation and billing, scores each on impact, effort and risk, and settles which one is built first.
Agentic workflows
Scheduling, reminder and invoicing workflows with a named approval point before anything reaches a patient or a plan manager.
AI training
Workshops for clinicians and practice staff on where AI tools can touch patient data, and where they cannot.
Where an agent needs to act inside your practice management or billing systems rather than only draft for review, that is AI agent development: tool-using agents built with an approval step and an audit trail.
Five stages, each priced before it starts
The same five-stage model we use everywhere, described in full in how we work. Two free conversations first, then paid stages you can leave at any boundary, with the IP yours from day one of any paid stage.
- Intro callFree, 30 minutes. Where the hours go in your practice and whether we are the right fit.
- Pre-discoveryFree, one hour. A closer look at your systems, data and the workflows worth automating.
- Discovery2–4 weeks from a fixed fee. A use-case map scored by impact, effort and risk.
- Strategy2–4 weeks, priced upfront. An implementation plan your board can sign off, with build, buy and defer decisions.
- Implementation12-week blocks with working software every couple of weeks, documented and handed over.
The engineering behind practice automation
Practice management software, billing in Xero or MYOB, intake forms and a shared drive each hold part of the picture. These services connect them, automate the handoffs between them and build what is missing.
AI integration
Connect models to your practice management, billing and document systems so AI output lands where staff already work.
AI integration servicesAI automation
Reminders, intake checks, invoice handling and reconciliations that run on their own, with a person approving what matters.

Custom software developmentStart with the admin that keeps clinicians from patients
Describe the admin that runs before, during and after an appointment, and the practice-management and billing systems it passes through. The first two conversations cost nothing, and each paid stage is priced in writing before it begins.
