AI for
hospitality & events

AI for restaurants, venues and event businesses, built into the reservation system, the shared bookings inbox and the rostering tool you already run. Agents answer routine enquiries, write confirmations from the booking record and draft supplier replies for a manager. Standard table bookings send under limits you set. Deposits, holds and event bookings wait for a manager to approve them.

Overview

The work that pulls staff off the floor

A venue's admin lives in three places: the reservation system, the shared inbox where booking requests, event enquiries, supplier emails and review notifications land, and the rostering or POS tool the managers work from. The floor team clears all of it between tables, and anything that arrives after close waits for the next shift.

We build agents that work across those systems. An enquiry agent reads the shared inbox, checks availability in the reservation system and drafts the reply, outside service hours as well as during them. A confirmation agent writes the confirmation and reminder from the booking record. A supplier agent drafts the reply to a delivery query or invoice question for the venue manager. The approval rule is fixed in the build: standard bookings send under the limits you set, and a manager approves any deposit, hold or event booking before it commits the venue.

Where the time goes

  • Booking and event enquiries going unanswered
  • Phone and inbox constantly interrupting service
  • Supplier, rota and admin work eating time
  • No time to respond to reviews and feedback

Four jobs an agent can take off the floor team

01

Bookings & enquiries

Agents that read booking and event enquiries as they come in, outside service hours included, take the details and pass qualified leads to your team. Large events and deposits are held for a manager.

02

Guest communication

Automated confirmations, reminders, pre-arrival info and follow-ups written from the booking details: date, party size, dietary notes and the room they are in.

03

Behind-the-scenes admin

An agent that reads supplier emails in the shared inbox, matches delivery notes and invoices to the order, flags price or quantity changes and drafts the reply for the venue manager to send. Invoices are coded ready for Xero or MYOB, and nothing posts until the bookkeeper approves it. Roster changes are proposed in your rostering tool as shift swaps that the manager confirms before staff see them.

04

Reviews & reputation

Draft responses to reviews for a manager to edit and post, and surface what guests keep mentioning so you can act on it.

A person stays in the loop

How a booking enquiry gets handled

Enquiries arrive at all hours and get answered when someone has a spare minute. We build it the other way round: an AI agent reads each enquiry, drafts the reply and chases whatever is missing, a manager approves any deposit, hold or event booking, and the result lands in your booking system rather than in a second inbox. The approval step is the one we build into the agentic systems in our case studies.

  1. Enquiry landsWeb form, email, voicemail transcript or social message, collected into one queue instead of checked between tables.
  2. Agent reads itPulls out the date, group size, budget and any dietary or access needs, then checks availability in your booking system.
  3. Reply draftedA specific answer in your venue's voice, with a tentative hold on the date where your rules allow it.
  4. Manager signs offStandard table bookings send under rules you set. Large events, deposits and anything unusual wait for a person.
  5. Confirmed and recordedConfirmation, reminder and pre-arrival details go out, and the booking carries its full history for the team on shift.

Start with the queue that hurts most

Walk us through a busy night's enquiries and the admin waiting the next morning, and we will point to the first thing worth automating. The intro call is free, and so is the hour of pre-discovery after it.
